How to Add AI to a Zoho CRM Business Process

Zoho CRM Integrates Zia Agents With Kiosk Studio to Automate SMB Workflows

Zoho CRM Brings Zia Agents Into Kiosk Studio for Smarter, Controlled Automation

Artificial intelligence can analyze situations, recommend next steps, and carry out certain actions. Business processes, however, need to follow defined stages, approval rules, and clearly assigned responsibilities.

Zoho CRM is bringing these two needs together by allowing Zia Agents to operate directly inside flows built with Kiosk Studio. Businesses can benefit from AI-driven analysis and action without handing over full control of the process.

What Is Kiosk Studio?

Kiosk Studio is a no-code customization tool built into Zoho CRM. It allows administrators to create guided experiences made up of screens, fields, decisions, and actions.

A Kiosk can retrieve information from multiple CRM modules, create or update records, trigger custom functions, call webhooks, and show users only the information they need at each step. Once created, the experience can be made available in different areas of Zoho CRM.

For a small or medium-sized business, a Kiosk can help structure a task that normally involves several steps, such as:

  • qualifying a new request;
  • preparing a quote;
  • approving a discount;
  • processing a service request;
  • completing post-call activities;
  • renewing a contract or policy;
  • creating several CRM records through one guided form.

Instead of asking employees to remember every step and move between multiple modules, the Kiosk guides them through the entire process.

What Zia Agents Add to the Flow

A new native component now allows a deployed Zia Agent to be called directly from the Kiosk Studio visual builder.

The Kiosk can send information collected during the active session to the agent. The agent performs the analysis or action it was configured to handle and returns its output to the flow. That output can then be displayed on another screen, used in a decision, or passed to a later action within the same Kiosk.

The distinction is important. The Kiosk does not build or configure the Zia Agent. Agents are created, managed, and deployed through Zia Agent Studio. The Kiosk calls the appropriate agent when it reaches the relevant point in the process. Only deployed agents are available; draft agents cannot be called from a Kiosk.

Zia Agent Studio lets a business define an agent’s role and instructions, provide supporting documents through a knowledge base, grant access to selected tools, and establish guardrails. A company could, for example, set a maximum discount the agent may recommend or specify the tone it must use when communicating.

A Practical Example: Managing Discount Approvals

Zoho demonstrates the integration through a discount recommendation process.

A sales representative launches a Kiosk from a deal record in Zoho CRM. The guided flow presents a summary of the opportunity and collects any additional information, such as whether a competitor has submitted an offer.

A Zia Agent then analyzes the deal and recommends a discount. The response can include not only a percentage, but also an explanation of the factors that influenced the recommendation. The representative may accept or adjust it.

The Kiosk then takes control again. A small discount may be approved immediately, while a larger reduction may be routed to the appropriate manager. A request that falls outside the company’s rules can be blocked or returned for review.

After approval, another Zia Agent can generate and send the quote. The entire sequence takes place in one guided flow, without requiring the representative to search manually for information, determine who must approve the request, or constantly switch applications.

Why This Matters for Canadian SMBs

A small team often faces a difficult balance. It wants to automate more work, but it cannot afford an incorrect decision or a missed approval step.

Connecting Zia Agents to Kiosk Studio can help preserve that balance.

The Kiosk maintains the structure. It controls the screens, mandatory fields, available paths, and sequence of actions. The Zia Agent steps in only when a more nuanced analysis or complex action is required.

This combination can help a business:

  • reduce improvised decisions;
  • apply the same rules across the team;
  • accelerate approvals;
  • document the reasoning behind recommendations;
  • simplify the onboarding of new employees;
  • reduce repetitive CRM work;
  • keep human validation at critical moments.

AI therefore becomes part of the business process instead of a separate tool that every employee uses differently.

Effective Automation Starts With Clear Rules

This update does not mean that simply adding a Zia Agent will make every process work perfectly.

Before implementation, the organization needs to decide which data the agent may access, what actions it may perform, which outputs require approval, and when the situation must be handed over to a person.

Data quality also remains essential. An agent analyzing a deal cannot provide a strong recommendation when amounts, activities, products, and customer communications are missing or inconsistent in the CRM.

A limited and measurable first use case is usually the safest approach. For example, the agent could initially prepare a recommendation while an employee remains responsible for approving every action. The organization can expand the automation after reviewing the results.

According to Zoho, the Zia Agent component in Kiosk Studio is available to Kiosk users on the Professional edition and above, provided Zia Agents is enabled on an eligible plan as well.

AI Becomes More Useful When It Is Properly Governed

The integration of Kiosk Studio and Zia Agents points to an important direction for AI in small and medium-sized businesses.

The real value is not limited to generating an answer or completing an action. It comes from allowing AI to intervene at the right moment, with the right information, inside a process that reflects the company’s actual operating rules.
